Terms of use

1. Purpose and acceptance

These terms of use (« Terms ») govern access to and use of the WeDoc platform (wedoc.io and its subdomains), a SaaS collaborative document management service published by BKH Tech BV, a company incorporated under Belgian law (VAT BE 0792.957.182) (« WeDoc », « we »). Creating an account constitutes full acceptance of the Terms in force, accepted at sign-up and logged. The French version prevails.

2. The service

WeDoc provides a workspace per company (« space ») including: collaborative document writing, a knowledge base, project and task management, automated business processes, client management and support. The exact scope depends on the plan subscribed to. We may evolve the service without materially degrading the essential features of the subscribed plan.

3. Account, security and licences

• Sign-up requires a valid email address, verified before the first login.
• Credentials are personal; you are responsible for actions carried out through your account.
• The administrator of a space manages its members and licence allocation within the seats of their plan; they are answerable for the use made by the accounts they invite.
• You undertake not to attempt to circumvent security measures nor to disrupt the service.

4. Subscriptions, trial and billing

• Plans, prices and limits are shown on wedoc.io. Payment is processed by Stripe; no card data passes through our servers.
• The free trial period, where offered, entails no payment obligation.
• The subscription is monthly and can be cancelled at any time from « My account »; cancellation takes effect at the end of the paid period. « Custom » plans are governed by the specific terms agreed with BKH Tech BV.
• In the absence of payment, access to the space may be suspended after the paid term.

5. Content and ownership

Content created or imported into a space (documents, articles, files, client data…) remains the exclusive property of the client company. You grant us only the technical rights required for hosting, backup and display of the service. The processing of personal data held in the spaces is governed by the data processing agreement (DPA). You warrant that you hold the rights to the content you import.

6. Availability and backups

The service is provided « as is », with a high availability objective but without any guarantee of uninterrupted availability. Maintenance may occur. Regular backups are performed; they do not relieve the client from making their own exports of critical content.

7. Suspension and termination

We may suspend or terminate an account in the event of a serious breach of the Terms (fraud, security compromise, unlawful content), after notice except in emergencies. When a space is closed, data can be returned on request for 30 days, then deleted in accordance with the privacy policy.

8. Liability

Within the limits allowed by Belgian law, the total liability of BKH Tech BV in respect of the service is capped at the amounts paid by the client over the last twelve (12) months. We are not liable for indirect damages nor for content created by users.

9. Changes to the Terms

Every new version of the Terms is dated and versioned; users are invited to accept it at their next login. Continued use after acceptance constitutes agreement to the new version.

10. Governing law and jurisdiction

The Terms are governed by Belgian law. Any dispute falls within the jurisdiction of the courts of the registered office of BKH Tech BV, subject to mandatory consumer provisions. Contact: support@wedoc.io.
